Privacy Policy

Rentz is a property operating system for South African landlords, tenants, letting agents, and building communities. It is operated by Refined Digital ("we", "us").

This policy applies to rentz-omega.vercel.app, the Rentz PWA, and the Rentz Android app (package za.co.refineddigital.rentz) that loads the same platform.

We process personal information for people who use Rentz as:

Landlords and portfolio owners — names, contact details, organisation, properties, units, bank or payout references, hardware sites, and staff you invite.

Tenants — names, ID or screening data you or your landlord submit, lease and unit details, rent and prepaid electricity history, access logs, documents you upload, and community activity.

Agents — professional profile, PPRA-related details you provide, ratings, and placement activity.

Website and app visitors — device and usage data needed to run and secure the service, even if you never create an account.

Account details: name, email, phone (when provided), password or login secrets, profile photo, role (founder, landlord, tenant), and organisation.

Property and lease records: addresses, unit numbers, rent amounts, deposits, lease dates, complaints, maintenance tickets, and uploaded documents (for example JPEG ID or lease scans stored in your session or, in production, our database).

Payments: rent invoices, arrears, refunds, digital receipts, and payment-processor references. Card numbers are handled by the payment provider (for example Paystack), not stored in full on Rentz servers.

Prepaid electricity: meter or unit identifiers, token purchase history, and STS token delivery to a tenant wallet.

Access and security: biometric smart-lock events (unlock time, door, method such as fingerprint / PIN / app), guest PIN records, and live or recorded camera streams for gates and common areas where a landlord enables them.

Community and marketplace: posts, messages, listings, photos of goods, escrow-related transaction status, and suburb or building context so feeds stay local.

App and hosting data: IP address, browser or WebView type, approximate region, crash logs, and install status (PWA or Android app). Demo mode may keep some of this only on your device (localStorage).

To provide the service you asked for: collect rent, screen tenants, vend prepaid electricity, manage doors and cameras, route maintenance, and run community or marketplace features.

To communicate with you: invoices, WhatsApp or SMS rent reminders, security alerts, and product notices.

To keep the platform safe: fraud, abuse, unauthorised access, and dispute records.

To improve Rentz: aggregated product analytics, not selling your lease file to advertisers.

To meet South African law: Rental Housing Act record-keeping, tax or FICA requests we are legally required to honour, and POPIA.

ID numbers, credit-check outcomes, and biometric fingerprints used to open a door are more sensitive. We only process them to run screening and access control you or your landlord enabled.

Camera feeds can capture visitors and public areas of a building. Landlords must tell occupants that cameras are in use and must not point cameras into private dwelling interiors without a lawful basis.

We do not require children's accounts. Rentz is aimed at adult landlords and tenants. If you believe a child has an account, contact us and we will delete it.

We do not sell personal information.

We share only what is needed with: hosting (Vercel), the Android build pipeline (Expo / EAS), payment and token vendors (for example Paystack and STS electricity partners), hardware makers (for example Tuya/TTLock, TP-Link Tapo, EZVIZ) when you pair devices, and SMS/WhatsApp providers for reminders you enable.

Landlords see tenant data for units they manage. Tenants see landlord and building notices for their lease. Marketplace counterparties see listing and escrow status for that deal.

We may disclose information if the law requires it, or to protect users, property, or Rentz from serious harm.

Production data is intended to be stored on secured cloud infrastructure with access limited to people who operate Rentz.

The current public demo also stores some session data (login, profile edits, uploaded JPEGs, Studio notes) in your browser. Anyone with access to that device can see it. Sign out on shared phones.

No method of transmission over the internet is 100% secure. We work to reduce risk; we cannot guarantee absolute security.

We keep account and lease records while you use Rentz and for a reasonable period afterwards so landlords can complete deposits, disputes, and tax files (often up to several years where South African law expects records).

Access logs and camera retention follow what the landlord configures, subject to a maximum we may set to limit risk.

You may ask us to delete an account. We may retain a minimal record where the law requires it (for example unpaid invoices or an ongoing dispute).

Under POPIA you may request access to your personal information, correction of inaccurate data, deletion where we have no lawful reason to keep it, and objection to certain processing (for example marketing messages).

You may lodge a complaint with the Information Regulator of South Africa if you believe we have not respected your rights.

To exercise rights, email the contact below and tell us whether you are a landlord, tenant, or agent, and which email is on the account.

Our website is hosted on Vercel. Some subprocessors may process data outside South Africa. We only use providers we believe apply reasonable security and we remain responsible to you under POPIA for how they handle Rentz data.

We use essential storage to keep you signed in and remember Studio or demo preferences. Analytics cookies, if added later, will be described here and, where required, offered as a choice.

We may update this page as Rentz ships payments, hardware, and community features. The "Last updated" date at the top will change. Continued use after an update means you accept the revised policy, except where POPIA requires a new consent.
